Team Managers Role
Overview
At the Kew East Basketball Club (KEBC), Team Managers are central to the smooth running of each team. They coordinate the off-court details so players can focus on enjoying the game and coaches can focus on development.
As Team Manager, you are the primary point of contact between your team and the club. All key updates, such as changes to players, venues, or registrations, will be communicated to you for distribution to your team.
Similarly, any updates or requests from your team, such as player details, singlet numbers, new players, venue matters, or coach requests, should be coordinated through you. This ensures communication is clear, consistent, and reflects a collective team understanding before being raised with the club.
What You Will Do
🏀 Communication
Share clear weekly game details (opponent, time, venue, court)
Keep parents and players updated via WhatsApp
Create and manage the team WhatsApp group
Use WhatsApp features (polls, reminders, updates) to streamline communication and availability of players
Arrange “fill ins” when necessary
Ensure all communications on the WhatsApp group is appropriate
🏀 Game Day Organisation
Send out game reminders each round
Coordinate scoring roster (bench duties) (see attachment)
Ensure players arrive on time and ready
Be a calm, organised presence courtside
Organise last minute “fill ins” as required
🏀 Team Admin
Track player availability each week
Maintain team contact list
Assist with uniform or registration queries
Organise a parent/career to assist the coach at training with injuries, toilet runs, disputes etc. (see attachment)
Support the coach with logistics
🏀 Team & Coach Appreciation
Organise end-of-season coach gifts (coordinate contributions, purchase, and presentation)
Help celebrate team milestones and season highlights
🏀 Team Culture
Foster a positive, inclusive and supportive environment
Encourage respectful behaviour from players and families
Help build connection within the team

Please advise your team members that registrations for the new season are now open and confirm whether they are playing or not next season.
The age group classifications are outlined on the Registration page of the website www.kebc.com.au. Remember for teams with different aged children, this is based on the eldest member(s) of your team.
Check with your Coach if he/she is staying on with the team. Please contact Operations operations@kebc.com.au with any queries.
Your coach will be paid by the Club for this current season. Please ask your coach to register for the new season by the closing date via PlayHQ.
If you are staying on as Team Manager, or if there is a new Team Manager being assigned, please confirm via email to operations@kebc.com.au. Team Managers must register online by the closing date via PlayHQ.
Will you be short a player for next season or does a current team member need to find a new team? Contact our Operations Manager with as much notice as possible via email operations@kebc.com.au
The Club reserves the right to liaise with team managers where teams have less than 7 players to offer an opportunity to children on our waiting list database. CDBA requires at least six players in a team for it to be registered.Does any new or existing team member need a uniform? All orders are now processed directly through iAthletic. Any queries about uniforms can be directed to operations@kebc.com.au
Typically from season to season your training time and venue will remain the same. Some changes may be required to training times and venues to accommodate new younger teams who will be given priority for venues offering lower rings and 8am or 3.45pm time-slots. Keep a list of players and their singlet numbers and advise any new players of numbers that are already being used within the team so there are no duplicates. Numbers can be from 0 to 99.
All uniform orders are available directly through our supplier, iAthletic. To order a uniform please click here.
Uniform orders can be made any time throughout the year, however, if you want to receive your new uniform by the start of the season, please allow 6 weeks manufacturing and delivery time.
Uniforms come as a set including singlet and shorts. You can mix and match sizes for each item. We do not print names on the singlet.

These will be given with the registration information provided before the start of each new season.
Please note that teams with mixed age groups will play in the age group relevant to their eldest team member(s).
Note – a younger aged player may play up in a high age group, e.g. U10 aged may play up in U12. However, an older player cannot play down in a younger age group, e.g. U12 aged cannot play U10. Where a player chooses to play in two teams and two age groups; two registration payments will be required to be paid.
Note: A player cannot play for two Clubs within the same competition.

All teams must have an allocated parent or guardian on duty for training sessions. This should be organised and rostered between the families by the Team Manager before the start of the season.
Encourage children to pay attention to Coach drills and advice (for example, children should not bounce the ball or talk while the coach is speaking).
Attend to minor injuries. If any doubt about more serious injuries, contact emergency services.
Escort children to the bathroom or send them in pairs.
Assist the Coach with any behavioural matters that arise to ensure the training session runs smoothly.
Ensure all siblings are fully supervised and are not interrupting the training session - they should be sitting quietly on the bench beside the court and not running around.
Ensure timely pickup of children at the end of the training session. The Supervisor should stay until all children are collected.

All Team Managers and Coaches (except Under the age of 18) will need to have a Working With Children check and provide the card number and expiry date when they register.
Your Working With Children check must be aligned with the Kew East Basketball Club. Details for applying for a Working with Children Check are set out below.
Please check that your current Working With Children is up to date and arrange for renewal if necessary.
Working with Children Check - is yours current?
The Victorian Government has legislated and advised Basketball Victoria that people working in Basketball, from domestic through to representative competitions, must undergo a Working With Children Check. This means that all Committee Members, Team Managers and Coaches (including any Assistant Coaches) must apply for, or already have, a Working with Children Check.
Applying for a Working with Children Check (WWCC) Certificate is an easy process completed online after which your card will be posted to you. The WWCC is free for volunteers. For more information visit the Working With Children Check website.
The Act does have some exemptions including Police, Teachers and children under 18 years, however, proof or copy of identity must be provided to KEBC. Please ensure you enter your Working with Children Check number and expiry date into PlayHQ when you register as a coach, assistant coach, team manager or committee member.

No players are permitted to play in the school grounds – or on the play equipment - at any of our training venues either during or after basketball training.
Our court hire arrangements are for the gymnasiums only and do not relate to school grounds.
Children not involved in training (e.g. siblings) are not permitted to be outside the gymnasium (with or without a parent).
Teams must leave the school grounds promptly after training finishes.
Children should take water only to training. Please ensure children take all their belongings home and no rubbish is left either inside or outside of the gymnasium.
This is a very serious matter for the Club and it is important that our members understand this. Basketball courts are in very short supply in this area. Jeopardising our training venue arrangements jeopardises the Club as a whole.

Arrive 15 minutes early before your game and locate your coach and team.
Leave your child with their coach to listen to the pre-game instructions.
Before the game, leave your child’s water bottle on the bench near where the subs sit; and find a seat away from the team’s bench area on the sidelines.
Please let your coach address his/her players pre-game and during time outs without interrupting. (We have many junior coaches, and they are more comfortable with the children on their own, rather than addressing both children and parents.)

This is a reminder regarding the process for submitting any disputes or protests arising from Friday night, Saturday or Sunday evening games.
If a team wishes to lodge a dispute or protest, the Team Manager must submit all relevant details in writing to the KEBC Operations Manager no later than the Sunday following the game. This allows sufficient time for information to be gathered and submitted to CBL on the next business day, in accordance with Clause 17 – Disputes of the CBL Rules. If you play on Sunday evening, then your timeline is submission by Monday noon and it will be lodged with CBL prior to 5pm that day.
The more information and documentation provided, the easier it is for the matter to be properly reviewed and followed up.
Team Managers may:
Gather offending player numbers
Take video footage where appropriate
Speak with referees on behalf of the coach
However, this must always be done respectfully and without intimidation, aggression, or confrontation.
CBL will review the matter and communicate its decision to the relevant parties. If any party disagrees with the decision, an appeal may be lodged within two (2) business days of notification of the original decision.
Examples of matters that may be submitted include:
Unsportsmanlike behaviour by opposition players or spectatorsSignificant match day scoresheet errors
Incorrect application of rules (for example, a team continuing to play zone defence after being instructed by referees to stop)
Please note that any action CBL may deem appropriate, particularly in relation to an individual player, may not be disclosed to the complainant.
This process is in line with Basketball Victoria and Victorian Government Child Safe Standards and Child Protection policies.
